Current Outlook for Mac supports HTML signatures directly. You do not need the old paid plugin. Paste the signature as it looks, not as raw code.
-
Copy the signature as it looks
Download your HTML signature file from your company signature page.
- Open the file in Chrome, Edge or Firefox. Leave Safari for this step. It can change the formatting when you copy.
- Click the signature, select all with Ctrl+A (Windows) or Cmd+A (Mac), then copy with Ctrl+C or Cmd+C.
Copy the signature as it looks. If you paste the raw code into a normal signature box, the email will show the code instead of the design.
-
Open Outlook signature settings
New Outlook has a gear icon and no classic Preferences window:
- Click the Settings gear.
- Open Mail → Compose and reply. Some builds use Accounts → Signatures.
- Click New signature or Add signature and name it Work signature.
Older Outlook for Mac: click Outlook → Settings (or press Cmd+,), choose Signatures, then click +.
-
Paste and set it as the default
- Click in the editing area and paste with Cmd+V. If a paste menu appears, choose Keep Source Formatting.
- Under Choose default signature, pick your account and set Work signature for new messages. Add it to replies and forwards if you want it there too.
- Close settings and click New Email to check it.
If someone using classic Outlook on Windows says the layout looks broken, they should follow the classic Outlook guide. That version installs the HTML file directly.
