The new Outlook for Windows is the default mail app on Windows 11. Paste the signature as it looks, not the raw code. It does not share signatures with classic Outlook.
If your window still has the ribbon and a File menu, you are on classic Outlook. Use the classic Outlook guide instead.
-
Copy the signature as it looks
Download your HTML signature file from your company signature page.
- Open the file in Chrome, Edge or Firefox. Leave Safari for this step. It can change the formatting when you copy.
- Click the signature, select all with Ctrl+A (Windows) or Cmd+A (Mac), then copy with Ctrl+C or Cmd+C.
Copy the signature as it looks. If you paste the raw code into a normal signature box, the email will show the code instead of the design.
-
Open the signature settings
- Click the Settings gear.
- Select Accounts → Signatures. If Signatures is not there, use Mail → Compose and reply.
- Select the email account, then click Add signature (some builds say + New signature) and name it Work signature.
-
Paste and set it as the default
- Click inside the signature box and paste with Ctrl+V.
- Set Work signature for new messages, and for replies and forwards if you want it there.
- Click Save, then start a new email to check it.
If you switch back to classic Outlook, set the signature up there as well. The two apps keep separate signatures.
